Documents

A document is a file in your workspace. Notes do not contain documents; they reference them, so the same agreement can be the subject of a review this week and a renewal next year without being copied.

Getting them in

Upload a file, create one from a note with /create document, or connect a drive and let folders mirror in.

Seraa processes supported files in the background, including text recognition for scanned content. In the document list, Processing means preparation is still underway; the AI indicator means AI features are ready. If processing fails, use the retry action before starting work that needs the document text.

Editing together

Editable documents open in a collaborative editor where people can work together with live cursors. Discussion threads can attach to a passage so a question about a clause stays beside it.

Saved document versions provide a history you can return to.

Merge fields

A document can carry merge fields — named placeholders filled in when work flows through it. A field has a type: text, number, date, image, a choice from a list, a checkbox, or a file the respondent uploads.

Link the document's merge fields to the values collected by a Form. Matching fields can carry those answers into documents used by the run; ordinary text is not filled just because its label matches.

Who can see what

Access is granted per document, at four levels:

LevelWhat it allows
ReadOpen and read it
CommentRead, and leave comments
SuggestRead, and propose edits for someone to accept
WriteEdit directly

A document permission applies to that document. A handoff may also grant access to the note and other resources needed for the assigned action. External parties receive at most Suggest access to document content; signing is controlled separately by the signing fields assigned to them.

Documents can be related to one another — this one amends that one, this is the executed version of that draft. The relationship is recorded on the documents, so it survives being referenced from a different note later.
